Overview

This example demonstrates my experience coordinating the different moving parts involved in delivering a webinar programme.

I worked across planning, speaker coordination, promotional content, registration, email workflows, webinar delivery, content repurposing and reporting.

The goal was to ensure that the different elements worked together — creating a smooth experience for both the audience and the internal teams involved.

The webinar lifecycle

  1. 1

    Plan & prepare

    • Set up and coordinate the webinar calendar
    • Work with the founder and internal team on upcoming sessions
    • Coordinate with speakers
    • Help define webinar topics and session details
    • Organise the practical requirements for each webinar
  2. 2

    Create & promote

    Create the marketing materials required to promote each webinar. This included:

    • Promotional visuals created in Canva
    • Copy and messaging for promotional content
    • Landing page content
    • Website calls to action
    • Event and registration pages
    • LinkedIn Events
    • Organic LinkedIn promotion

    The focus was on ensuring that all promotional materials clearly communicated the value of attending the webinar.

    Registration, workflows & emails

    Set up the practical journey for webinar registrants. Using HubSpot and Zoom, I helped manage:

    • Registration processes
    • Zoom and HubSpot integration
    • Registrant information
    • Confirmation emails
    • Reminder emails
    • Relevant follow-up communication

    The aim was to ensure that people who registered received the right communication at the appropriate stage of the webinar journey.

    Deliver the webinar

    Coordinate the practical elements around the live session. This included:

    • Supporting the webinar on the day
    • Coordinating with speakers and internal teams
    • Helping ensure the session ran smoothly
    • Managing practical tasks and follow-up requirements
    • Ensuring the webinar recording was available after the session

    Repurpose & build evergreen content

    The webinar did not end when the live session finished. Recordings were used to create ongoing content and extend the value of each webinar. This included:

    • Hosting webinar recordings
    • Publishing recordings on YouTube
    • Sharing relevant content on LinkedIn
    • Creating short clips and snippets from sessions
    • Repurposing webinar content for future promotion
    • Building an evergreen content library

    The aim was to continue using valuable content beyond the original live event.

    Analyse & report

    Create reports to help the relevant teams understand webinar performance and lead activity. This included reviewing:

    • Number of registrations
    • Attendance
    • Leads generated
    • Engagement
    • Potential leads requiring follow-up

    The information helped Sales understand who had engaged with the webinar and which contacts could be relevant for further outreach.

The outcome and the structure behind it

The outcome: a webinar that runs to plan — registrations captured, attendees reminded, the live session delivered smoothly, leads followed up and the recording reused as ongoing content.

The structure behind it: a single connected lifecycle rather than separate tasks. Planning sets the topic, audience and dates; promotion drives registrations through landing pages, emails and social content; the registration setup links the webinar platform, forms and CRM so every sign-up is tracked; delivery covers the practical run of the session; repurposing turns the recording into evergreen assets; reporting closes the loop with Sales.

That structure is what keeps the moving parts connected, so nothing depends on one person remembering the next step.
